Summer Camp Terms & Agreements

 

Cancellation Policy

In the event that your child is unable to attend camp, here is our cancellation/refund policy:

  • All refunds are subject to a $50.00 cancellation fee.
  • The $15.00 processing fee for using a payment plan is non-refundable.
  • Refunds will be given if requested at least 14 days before your week of camp.
  • If cancellation forms are submitted less than 14 days before your camp session begins, refunds will only be given for medical reasons or a family emergency.

 

Late Arrival Policy

  • GENEVA will only accommodate late arrivals which are health-related or family emergencies. If families anticipate not being able to arrive on time, they will be encouraged to register for a different session.
  • We reserve the right to cancel the registrations of children who do not show up and have not notified us by noon on Monday.
  • Cancellations will be subject to GENEVA’s cancellation/refund policy.
  • Rationale for this policy: Much happens in the first few hours of camp, with implications ranging from personal comfort, to cabin bonding opportunities, to state licensing regulations. For these reasons, regardless of your camper’s comfort or experience level with camp, it’s important that they arrive near the start of the camp session.

 

Early Departure Policy

  • We strongly discourage early departures.
  • Rationale for this policy: The end of the camp session is designed to wrap up the week and transition campers back into their daily routines. It is filled with debriefing conversations, picture signing, and other closing activities that are significant in the child’s experience. If you must pick up your child early, please contact the office to discuss the most opportune time.

 

 

Camper Agreement

Geneva Camp & Retreat Center (“GENEVA”) wants everyone to have a safe and enjoyable time while at camp. Safety is achieved when all camp participants work together. GENEVA will endeavor to provide a safe environment for camp activities. The camper is, however, expected to understand and take seriously the inherent risk and related responsibility to follow GENEVA’S rules and directions. Please review the information below and sign that you agree to this agreement.

Infectious Diseases / COVID-19

Individuals with preexisting conditions such as cardiovascular disease, respiratory disease including but not limited to asthma, diabetes, and immunocompromised are at an increased risk of severe illness. This is particularly the case if COVID-19 is contracted. Any pre-existing illness increases the implied risk of the camper’s participation in camp activities and in the risk of contracting COVID-19.

The health and safety of campers is a priority for GENEVA. GENEVA will adapt and adjust protocols and procedures in an effort to help keep campers, staff, and families safe. Ultimately, the choice for the camper to attend summer camp at GENEVA is a personal one, and the camper and his or her parent or guardian is in control.

 

Parent/Guardian Agreement

I affirm that the camper has no physical, emotional, or mental condition that would affect or be affected by activities of camp. Any treatment he or she has had for these conditions has been disclosed in the health record I have submitted to GENEVA, and I will yield to GENEVA’s final judgment as to whether he or she should participate.

I understand that neither GENEVA nor its insurer provide health insurance coverage for campers. I agree that all costs related to camper illness, sickness, or accident will be billed to me and I will be responsible to pay these costs. I will check with my insurance provider to determine if additional insurance is needed to cover the camper while attending GENEVA or participating in its activities.

I give permission for my child or other minor over whom I have responsibility to engage in all prescribed camp activities unless otherwise disclosed to GENEVA, to be photographed and videoed for use by GENEVA in camp publicity, and to be transported in GENEVA-owned or leased vehicles for approved out-of-camp activities.

I agree to allow the release medical records of my child or other minor in case of illness or injury and to allow the camp health officer to administer routine medical care. In the event I cannot be reached, I give permission to the physician selected by the GENEVA staff to obtain proper medical diagnosis, hospitalize, secure proper treatment for and to order injection, anesthesia or surgery.

I give my permission for GENEVA to disclose any physical/cognitive/behavioral conditions of the minor camper for whom I am the parent or guardian to the lifeguard, coordinator, camp health officer, and counselor as necessary for the camper’s welfare unless I notify GENEVA otherwise.

If the camper is an adult under applicable law, the camper agrees to all of the above, is substituted as the parent or guardian and makes the agreements otherwise being made by a parent or guardian.

 

Waiver and General Release of Liability and Hold Harmless

In consideration for the opportunity to attend GENEVA and participate in its activities, I on behalf of myself and the minor camper for whom I am the parent or guardian, waive and release GENEVA, its staff, board members, officers, directors, employees, volunteers, and agents from all liability of any kind arising from or related to transportation to and from and attendance at GENEVA or participation in its activities. I understand and agree that this release includes but is not limited to any claims based on the actions, omissions, or negligence of GENEVA, its employees, agents, and representatives, and also whether a COVID-19 infection occurs before, during, or after participation in any camp programs. This is intended to be interpreted as a broad, general waiver and release. I accept personal financial responsibility for any injury or other loss sustained by the camper or me as his or her parent or guardian during camp activities or during transportation to and from the activities, as well as for any medical treatment rendered to the camper that is authorized by GENEVA or its agents, employees, volunteers, or any other representatives. I further agree to indemnify and hold GENEVA, its staff, board members, officers, directors, employees, volunteers, and agents harmless from liability for all claims for personal injury, death, or property damage of any kind made by me, my family members, the minor camper for whom I am the parent or guardian or their successors, whether such injury, death or damage arises out of the acts, omissions or negligence of GENEVA, its staff, board members, officers, directors, employees, volunteers, or agents.

 

Arbitration

If a dispute over this agreement or any claim for damages arises, the matter is to be resolved through a mutually acceptable alternative dispute resolution process. If no agreement is reached on that process, the dispute must be submitted to a three-member arbitration panel for resolution in accordance with the rules of the American Arbitration Association. The location for any arbitration proceedings shall be in Ottawa County, Michigan. The laws of the State of Michigan shall govern the substantive rights of the parties. Such arbitration shall be final and binding. By agreeing to arbitration, the right to seek remedies in court, including but not limited to, the right to a jury trial, is being waived. Any award issued in connection with the arbitration may be confirmed by any state or federal court of competent jurisdiction.

 

Other Agreements

This agreement supplements any other agreements signed for the camper’s participation at GEVEVA. All such agreements must be construed together as a single agreement. This agreement will control in the event of any inconsistencies.
